Privacy Policy

Leap Exam is operated by Leap Exam Pty Ltd (ABN 58 692 683 720), based in Melbourne, Australia. This Privacy Policy explains what personal information we collect when you use our website, web app, and mobile apps (together, the Service), how we use and protect it, and the choices you have.
We handle personal information in line with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth). By using the Service you agree to this policy. If you do not agree, please do not use the Service.
1. Information we collect
Information you give us
- Account details such as your name, email address, and password when you create an account. If you sign in with Google or Apple, we receive basic profile information (such as your name and email) from those services.
- Profile and onboarding details you choose to share, such as your target test and score, your native language, your country, when you plan to sit your test, how confident you feel in each skill, and how you heard about us.
- Practice content you create, including audio recordings of your speaking practice, written responses, and your answers to reading and listening questions.
- Messages you send us, such as support requests, feedback, and enquiries.
Information we collect automatically
- Usage and device information, such as your device type, browser, app version, and your general activity within the Service.
- Your IP address, which we may use to estimate your general location, such as your country. We process this locally and do not sell location data.
- On our mobile apps, a push notification token if you turn on notifications, so we can send you reminders and updates.
Guest accounts
You can start practising without creating a full account. We create a temporary guest account so you can save your progress and scores. If you later add your email, we link that guest account to you. Guest accounts that are never claimed are deleted automatically (see How long we keep your information).
2. How we use your information
We use your personal information to:
- Provide the Service, including running practice tests, saving your progress, and generating scores and feedback.
- Create and secure your account, and verify your identity when you sign in.
- Process your speaking and writing practice through our scoring tools so we can estimate your band or score and give you feedback (see AI and automated processing of your practice).
- Personalise your experience, such as recommending practice based on your goals and self-assessment.
- Communicate with you, including sending sign-in links, verification emails, reminders, and, where you have opted in, our newsletter.
- Handle payments and manage your subscription.
- Improve and troubleshoot the Service, and keep it secure.
- Comply with our legal obligations.
Where the law requires your consent, for example to send you marketing emails, we rely on that consent, which you can withdraw at any time.
3. AI and automated processing of your practice
A core part of the Service is estimating your test performance and giving you feedback. To do this, we share the relevant practice content with trusted third-party processors:
- Speaking audio is transcribed into text and analysed for pronunciation. We use Deepgram for speech-to-text and Microsoft Azure (Australia region) for pronunciation assessment.
- Your speaking transcript and written responses, including any images that form part of a writing task, are sent to Google (Gemini) to generate scores and written feedback.
- Our spoken prompts and example answers are produced using text-to-speech from ElevenLabs. This uses our own prompt text, not your personal information.
These scores and feedback are estimates generated by automated tools. They are not official IELTS or PTE results. If you think a piece of feedback is wrong, you can contact us and ask a person to look at it.
4. When we share your information
We do not sell your personal information. We share it only in these cases.
Service providers
We use trusted third parties to run the Service. They may process your information only to provide services to us, under agreements that require them to protect it. Our main providers are:
- Amazon Web Services (Sydney, Australia) for hosting and file storage, including your practice audio.
- Google (Gemini) for AI scoring and feedback, and Google and Apple for sign-in.
- Deepgram for speech-to-text and Microsoft Azure for pronunciation analysis.
- Stripe for processing web payments, and the Apple App Store, Google Play, and RevenueCat for processing in-app purchases on mobile.
- Email and newsletter providers to send you transactional and, where you have opted in, marketing emails.
Legal and safety
We may disclose information if required by law, to enforce our terms, or to protect the rights, safety, or property of Leap Exam, our users, or others.
Business transfers
If Leap Exam is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will let you know of any change in who controls your personal information.
5. Analytics
Our website and web app do not use third-party analytics, advertising, or tracking pixels.
Our mobile apps use Amplitude to understand how the app is used so we can improve it. This includes session replay, which records in-app interactions such as the taps you make and the screens you view inside the app. We use this to fix problems and improve the experience, not to identify you to advertisers.
6. Cookies and similar technologies
We use a small number of first-party cookies that are necessary to keep you signed in and to keep the Service secure. We do not use third-party advertising or tracking cookies on our website or web app.
Some information, such as your theme choice and onboarding answers, is stored locally in your browser so the app works smoothly. You can clear this at any time through your browser settings.
7. Storage, security, and overseas transfers
We store your information, including your practice audio, on servers located in Australia (AWS Sydney).
Some of our service providers are located overseas, including in the United States, for example Stripe, Deepgram, and Google. When your information is sent to them, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles.
We use technical and organisational measures to protect your information, including encryption in transit, access controls, and hashed passwords. No system is completely secure, so we cannot guarantee absolute security.
8. How long we keep your information
We keep your information for as long as your account is active or as needed to provide the Service, then delete or de-identify it when it is no longer needed. In particular:
- Speaking audio recordings are deleted automatically after 90 days.
- Guest accounts that are never claimed with an email are deleted after 30 days.
- If you close your account, we delete or de-identify your personal information within a reasonable period, unless we need to keep some of it to meet legal, tax, or accounting obligations.
9. Your rights and choices
You can:
- Access and update most of your information from your account settings.
- Ask us for a copy of the personal information we hold about you, or ask us to correct it.
- Ask us to delete your account and personal information.
- Unsubscribe from marketing emails using the link in the email, or by contacting us. We will still send you essential service messages.
To make a request, contact us using the details below. We may need to verify your identity first. We will respond within a reasonable time and in line with the Australian Privacy Principles.
10. Children
The Service is intended for people aged 16 and over. If you are under 16, please use the Service only with the involvement of a parent or guardian. If you believe a child has given us personal information without appropriate consent, contact us and we will delete it.
11. Changes to this policy
We may update this policy from time to time. If we make material changes, we will update the date at the top and, where appropriate, notify you in the app or by email. Your continued use of the Service after a change means you accept the updated policy.
